1. Scope
This Booking Policy governs all reservations made by verified partners through the HBS Partner Central platform ("the Platform"), including hotel rooms, accommodation blocks, and conference or event venues. By placing a booking you agree to the terms set out below.
2. Making a Booking
Bookings may only be made by approved partner accounts. Partners are responsible for ensuring guest and delegate details are accurate at the time of booking. Rates displayed are net wholesale rates reserved for business buyers and must not be resold below any supplier-imposed conditions.
3. Confirmation
A booking is only confirmed once you receive a written confirmation and booking reference from the Platform. Instant-confirmation properties are confirmed immediately; request-based venues and large blocks are typically confirmed within 24 hours. Availability and rates are not guaranteed until confirmation is issued.
4. Payment
- Standard bookings are payable in full at the time of confirmation.
- Approved partners may settle via invoiced credit terms, typically within 30 days of invoice date.
- Consolidated monthly invoicing is available for high-volume corporate and NGO partners.
- Bookings may be released if payment is not received by the due date stated on the confirmation.
5. Changes & Cancellations
Amendment and cancellation terms are set by each supplier and are displayed before you confirm a booking. Where a booking is within a free-cancellation window, changes can be made at no cost from your dashboard. Outside that window, supplier cancellation charges apply. HBS Partner Central does not add its own cancellation fees.
6. Group & Block Bookings
Group blocks may be held provisionally for up to 72 hours at no cost. Final rooming lists and delegate numbers must be submitted by the release date stated on the hold. Reductions after the release date may be subject to attrition or minimum-spend conditions defined by the supplier.
7. Check-in & Vouchers
Booking vouchers, invoices, and rooming lists are available for download from your partner dashboard once a booking is confirmed and, where applicable, paid. Guests should present the voucher and valid identification at check-in.
8. Liability
HBS Partner Central acts as an intermediary between partners and hospitality suppliers. While we verify our suppliers and work to ensure accuracy, the provision of accommodation and venue services remains the responsibility of the supplier. Our liability is limited to the value of the affected booking, to the extent permitted by law.
